Why should I store my documents online?

The benefits certainly outweigh the risk. By having and managing your documents online you have control over what normally would be considered outside the boundaries of control. By using an online document management system, you can truly collaborate. It allows simultaneous access to multiple users. It also insures that after the collaboration has ended, the documents remain safely where they can be accessed again, and again.

 

Why not on a CD?

It is a little known fact that no true archive quality digital media is made today. What qualifies "archive quality" is that anythig recorded to a particular media is safe for a time length  of 75 years or longer. The best way to protect yor documents is to back them up redundantly across multiple computers. Media Spiders backs up in multiple locations on site, and offsite to insure your documents are safe and accessable 24/7.

 

What are my barriers to entry?

As with all important aspects of your business, certain expenses come along with proper operation. Media Spiders will help you minimize the expenses associcaited with document retention. We provide a custom software soluton tailor made to your current workfolws. This allows for the transition to digital records to become almost seamless. This software is provided at no cost.

 

If you give away the software how do you charge?

Each scanning and archiving project is unique. We evaluate and provide you with a cost based on the volume/condition of the documents,the indexing or search criteria, and the post scanning procedures. We can either shred, reassemble and return or we offer 3 months free storage in our warehouse.

 

How long does it take?

Generally that is dependant on the condition of the documents. Media Spiders has scanned millions of documents and generally they are available within 7 working days. These timelines can be reduced through a collaborative effort. For six years  we have scanned indexed and uploaded  100,000 documents on a weekly basis.

 

Do we need special software?

No. Media Spiders software is platfrom independant. All you need is a web browser and an internet connection. Even your Iphone will work.

 

How can we be sure our documents are safe?

Media Spiders invested hundreds of thousands of dollars in the devlopment of the first online manifest archive for the largest medical waste recycler in the world, Stericycle. Our processes were outlined to insure Hipaa and Sarbanes Oxley compliance.  We take the security of our documents very seriously. All employees must pass a backround check, drug test, and all must sign a non disclosure agreement legally binding them.
